Event Specialist

Department: 412 Special Events
Location: Page, AZ

JOB SUMMARY

Responsible for assisting the Event Manager in the planning and executing special events for the City of Page, including holiday, musical, off-road, sporting events, art festivals, and other community gatherings. Must possess strong creativity and planning skills. Will assist in the research, development and expansion of new and existing events within the City to enhance our resident’s quality of life while increasing tourism and City brand awareness.

ESSENTIAL JOB FUNCTIONS

  • Assists in the research for special event expansion.
  • Assists in increasing vendor participation at events.
  • Assists the Event Manager with budgetary administrative duties.
  • Completes hands-on set-up of events.
  • Helps create a logistical plan for each event.
  • Assists with Special Permitting for events for the City of Page.
  • Adheres to the respective health and safety issues required for each event.
  • Helps recruit and train volunteers.
  • Schedules ancillary services, such as trash removal and bathroom facilities.
  • Schedules, attends, and takes meetings for planning and after-event recaps.
  • Back up to the City Hall Receptionist as needed.
  • Other duties, as assigned.

QUALIFICATIONS

Education and Experience:

  • High School Diploma or GED; and
  • Two (2) years of experience in a position with a high level of public contact, preferred.
  • Prior experience in special events, fields preferred.
  • Associate or Bachelor’s degree in an applicable discipline preferred.

Licenses or Certifications:

  • Requires a valid Arizona Driver’s License

Special Requirements:

  • Periodic travel for meetings or visits to other events.
  • Must be able to maintain strict confidentiality.
  • Must be able to work on weekends and holidays, or as needed for events.

Knowledge, Skills and Abilities:

  • Knowledge of special event coordination and planning.
  • Ability to work independently with minimal supervision.
  • Skilled in prioritizing, organizing, and managing practices.
  • Ability to demonstrate command of business English, spelling and mathematics.
  • Ability to deal effectively and tactfully in stressful situations.
  • Ability to demonstrate significant organizational skills to manage a variety of projects on a regular basis.
  • Ability to exhibit proficiency in various office computer programs including Microsoft Office, Canva, and various other graphic design software.
  • Ability to communicate effectively in person, telephone, and text.
  • Ability to effectively utilize and manage time.
  • Ability to exercise judgment and act independently in establishing or adapting work procedures;
  • Ability to maintain strict confidentiality.
  • Ability to demonstrate superior customer service and positivity at all times.
  • Flexibility in performing daily job functions, including a variety and variation of duties from day-to-day.
  • Exhibit honesty, integrity, and fairness at all times.
  • Ability to develop and maintain good working relationships with co-workers, other City departments, businesses, and other cities.

PHYSICAL DEMANDS

While performing the duties of this job, the employee must exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The following physical abilities are required: balancing, climbing, crawling, crouching, feeling, fingering, grasping, handling, hearing, kneeling, lifting, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, stooping, and talking, visual acuity and walking. Ability to stand for long periods of time.
